General Policy

Customers must arrive on time for their reservation to be eligible for any weather-related accommodation. Late arrivals will not be considered for this policy — the trip will proceed as a rain or shine charter, regardless of weather conditions, with one exception: official bulletins issued by the U.S. Coast Guard (USCG) that specifically restrict boat operations in the body of water where the charter is located. Bulletins applying only to the coast or open water do not apply.

Aqua Boat Charters does not make cancellation decisions based on weather forecasts or forecast screenshots, as these tools are not sufficiently accurate. Cold weather is not grounds for cancellation or rescheduling. The weather must constitute an active thunderstorm at the time of the rental to be considered.

Captain’s Authority on Weather Decisions

All weather-related cancellations must be called by the captain only. If the captain determines that conditions are safe for navigation, the charter will proceed as scheduled. If a customer refuses to board despite the captain’s clearance, the reservation will be marked as a no-show with no refund.

Weather Policy — Before Departure

If weather conditions prevent the charter from departing within 20 minutes of the scheduled start time, the following rules apply. Note: if the charter does depart within those 20 minutes, charter time is counted from the moment the captain declares readiness to depart. We recommend completing all required forms during the waiting period to avoid losing charter time.

Without Cancellation Protection: Customers may choose to reschedule to another available date, or receive a partial refund minus 20% of the total amount or $40 (whichever is higher) for operational expenses.

With Cancellation Protection: Customers will receive a full refund minus the cost of the cancellation protection itself, provided all policy procedures are followed.

Cancellation Procedure Before Departure — Without Protection

Customers must send an email to [email protected] stating their intention to reschedule or request a partial refund. Refunds will be processed within 1 business day. If rescheduling, customers will receive a gift card for the full rental amount valid for future use. A written confirmation from the customer is required to proceed.

Cancellation Procedure Before Departure — With Protection

Customers must send an email to [email protected] confirming that the charter did not proceed due to weather. A full refund minus the protection cost will be processed within 1 business day.

Weather Policy — After Departure

If weather conditions worsen after the boat has departed, there will be a 20-minute grace period (verified via GPS) to return to the marina. All customers, regardless of protection status, may choose either a 70% refund or a reschedule to another available date. The captain must be compensated for a minimum of 1 hour of service. If the customer refuses, the full rental amount will be forfeited.

Cancellation Protection

Cancellation Protection shields customers from the financial risk of adverse weather conditions. When purchased, customers are entitled to a full refund minus the protection fee itself, provided all policy procedures are followed. Protection does not exempt customers from showing up on time. The cost of the protection is non-refundable. Protection may be purchased up to 24 hours before your reservation time.

No Assumptions

Do not assume your reservation is cancelled due to weather unless you receive written confirmation from Aqua Boat Charters. Failing to show up for your scheduled departure without written cancellation confirmation will result in a no-show with no refund.
